Retail & F&B

Margins are decided in the back office, one invoice and one roster at a time

Retail and F&B operators in the Gulf run hundreds of locations on margins measured in single digits. The front of house is polished; the back office still reconciles supplier invoices by hand, builds rosters in spreadsheets and answers the same customer questions in two languages every day. That is where the margin goes, and where we start.

The pressures

What an operator in this sector is carrying

Supplier invoices that never quite match the delivery

Hundreds of suppliers, thousands of lines, prices that change with the season and quantities that differ from what arrived at the back door. Finance teams match invoices to purchase orders and goods receipts by hand, and the mismatches wait for someone at the store to remember.

Rosters, payroll and the Wage Protection System

Shift patterns across dozens of outlets feed a payroll that must satisfy labour law and the Wage Protection System every month, on time, with no tolerance for a malformed file. The work is repetitive, deadline-bound and done by people who also run the stores.

Customer questions at the speed of a queue

Orders, refunds, loyalty points, allergens, opening hours. Messages arrive on every channel in Arabic and English, and the answer depends on the order system, the loyalty platform and the store. Slow answers cost the next visit.

Knowledge that lives in the regional manager's head

Product specifications, franchise standards, food safety procedures and promotion rules sit in binders, PDFs and group chats. A new store manager learns them by asking, and asks the same five people everyone else asks.

Destinations, not demos

What AI-native looks like here

Each scenario maps to an engagement pattern we ship with the ninety-day method. Agents work the cases; your people approve at the gates that matter.

Document intelligence

Invoices matched, queried and posted without the chase

Each supplier invoice is read on arrival, matched to the purchase order and the goods receipt, and posted when it matches. When it does not, the agent works the discrepancy: it queries the supplier with the specific line, checks the store's receiving record, and proposes the resolution with the evidence attached for finance to approve.

How the pattern works
Agentic process automation

From roster to compliant payroll, every month

Shift data flows into a payroll workflow that validates hours, applies the rules, generates the compliant salary file and flags exceptions before the deadline rather than after. A payroll officer approves; nothing is submitted without them.

How the pattern works
Customer operations

Customer service that knows the order

Inbound messages are understood in either language, matched to the order and the loyalty account, and answered with a drafted reply an agent approves. Refunds and complaints always reach a person, with the history already in front of them.

How the pattern works
The regulatory picture

The regulatory picture for retail and F&B in the Gulf

Retailers hold more personal data than they realise: loyalty profiles, order histories, delivery addresses and payment details for millions of customers, all personal data under the UAE's PDPL and Saudi Arabia's data protection law. Card data adds the payment industry's own standards. Systems we build keep that data in the jurisdiction you specify, on sovereign or private cloud, with models inside the boundary and no inference call leaving it.

Employment and tax rules shape the back office directly. Payroll must satisfy labour law and the Wage Protection System on a fixed calendar, and invoicing and tax reporting are moving to electronic, structured formats that reward clean data and punish the reconciliation habits of the past. Our workflows produce compliant files and their evidence as a by-product of the work.

Food safety and municipal inspection records are the third layer for F&B operators. Procedures, temperature logs and certifications are exactly the documents a governed knowledge layer should hold and cite, so a store manager gets the current answer and an inspector gets the record.

Proof

The nearest evidence

From the delivery record: HR and payroll for a global fashion retailer's UAE operations, compliant with the Wage Protection System every month; a multi-module hospitality and tourism platform delivered to production in three months; and a twelve-month business transformation including CRM and platform migration. All are pre-AI work; they are why we know how a retailer's back office actually runs.

One of our engineers sits inside your organisation from the diagnostic through to go-live, with an engagement lead, integration engineering and design behind them. In retail or F&B that means shifts in the stores and the central kitchen as well as the head office, learning how a delivery becomes an invoice and a roster becomes a payroll run, before proposing anything.
